Receptionist

Role Overview 

As a receptionist, you will be responsible for: 

  • Organizing the correspondence inbox and handling relevant records.
  • Referring letters, reports, and other correspondence to individuals, departments, and relevant companies in the IFS system.
  • Maintaining and archiving all files, papers, letters, reports, and other necessary documents and records in the IFS system.
  • Drafting some outgoing administrative letters.
  • Managing and appropriately maintaining the company’s official documents, classified and confidential documents.
  • Planning and coordinating meetings and appointments.
  • Responding to phone calls, emails, and in-person inquiries.
  • Coordinating with the support unit to carry out office tasks (ticketing, meeting arrangements, etc.).
  • Handling colleagues’ requests, guiding them, referring them to the relevant authority, and following up on assigned tasks with departments.
Candidate Requirements 
  • Proficiency in handling administrative tasks, including correspondence management.
  • Knowledge of effective archiving practices to ensure efficient record-keeping.
  • Strong planning and organizational skills to manage daily tasks effectively.
  • Empathetic demeanor to provide attentive and supportive assistance to visitors and callers.
  • Commitment to following up on tasks until completion, ensuring satisfactory outcomes.
